ParentSquare Privacy Policy

1. Overview

ParentSquare, Inc. (“ParentSquare,” “we,” “us,” or “our”) knows that privacy is a top priority for you and your school, school district, or organization (your “District”). We are committed to protecting your privacy.

This ParentSquare Privacy Policy (this “Privacy Policy”) covers how we collect, use, and share information collected through our Subscription Services, including ParentSquare Engage, ParentSquare Attendance Plus, Remind Hub, Smart Sites, and StudentSquare (our “Subscription Services”)—as well as our Public Sites (https://www.parentsquare.com and https://www.remind.com) (our “Public Sites”).

Note: This Privacy Policy does not apply to the Remind Chat service or mobile application, or to outside companies that ParentSquare does not own or control.

We collect and use information in two ways:

  1. In our role as a service provider for your District (under the ParentSquare School Agreement or other written agreement with your District).
  2. In our role other than as a service provider, including from individuals who visit our Public Sites or interact with us outside of a specific agreement.

2. Information We Collect

ParentSquare collects personal data provided by your District and by you directly.

Data Categories Collected in the Last 12 Months

The following information may be collected through our Subscription Services:

Network Activity Interactions with our Subscription Services, including messaging.
Geolocation General location data (not precise tracking).
Audiovisual Photos and videos provided by you or your District.
Education Info Grades, courses, attendance, teachers, group memberships, and extracurricular activities.
Sensitive Info Health information, account logins, and the content of certain messages sent via the Subscription Services.
Professional Info District staff member roles.
Inferences & Other Conclusions drawn from the data above and other personal info that is linked to the personal information above.

The following information may be collected through our Public Sites:

Category Examples of Data Collected
Identifiers Name, email, phone number, IP address, and school IDs.
Commercial Info Records of Subscription Services used or considered.
Network Activity Interactions with our Public Sites.
Geolocation General location data (not precise tracking).
Professional Info Employment or job-related information.
Inferences & Other Conclusions drawn from the data above and other personal info that is linked to the personal information above.

3. Where We Get This Information

ParentSquare gathers data from three main sources:

A. From Your School District

Your District may provide info at the start of service or periodically through the District’s Student Information Systems (SIS/SMS), payroll, nutrition, or fee systems.

  • Examples: Student/staff names, school ID numbers, phone numbers, mailing addresses, email addresses, group memberships, extracurriculars, enrolled classes, grade levels, extracurricular activities, homeroom, guidance counselor, daily and class attendance data, family relationships, preferred communication language, and emergency contact info.

B. Directly from You

We collect information you upload, import, or sync (like your mobile contacts).

  • Specifics: Names, phone numbers, photos, voice/image attachments, and club affiliations.
  • User Profile: You may choose to add your profession, interests, or abilities.
  • Public Interactions: Information you provide when contacting us or attending an event (this is not processed on behalf of your District).
  • AI and Chatbot Inputs: Information you provide when using artificial intelligence and chatbots that are enabled by your District part of our Subscription Services.

C. Automatic Collection

Whenever you use our services, we automatically store certain data:

  • Online Activity: Pages you visit and actions you take, like posting comments.
  • Notifications: We track if emails/texts are delivered and if links are clicked to improve the Subscription Services.
  • Device Info: Your browser type, mobile device type, operating system, IP address, and unique device ID.
  • Cookies: We use cookies to personalize your experience. You can block them in your browser, but it might break some features.
  • Location: General location (city level) to secure the Subscription Services.

4. How We Use Your Information

We use your data to provide the services and follow the rules set by FERPA (the Family Educational Rights and Privacy Act). Our main goals include:

  • Operations: Creating accounts, providing customer support, and measuring how features are used to improve them.
  • District Reporting: Telling your District how many people are using the Subscription Services so your District can communicate better.
  • Communication: Sending school announcements (either by email, text, push notifications, desktop notifications), administrative messages (newsletters/updates), and urgent alerts, or providing chatbot services.
  • Security & Legal: Protecting the security of our Subscription Services and Public Sites, troubleshooting, complying with laws or legal requirements, or following your specific consent.

5. Sharing Your Information

We do not sell your personal data or share your personal data for targeted advertising.

We only disclose information to:

  • Service Providers: Third party subprocessors who help us run our Subscription Services and Public Sites.
  • Affiliates: Affiliates to help maintain our services.
  • Legal Compliance: Governmental authorities or other authorized parties in response to subpoenas or court orders, or to protect the safety of our users.
  • Business Changes: Acquiring parties in the event of a merger, sale, or bankruptcy.

Service Providers

Third-party subprocessors to help us run our Subscription Services and Public Sites. They help us to:

  • Host databases.
  • Provide customer support.
  • Analyze the use of our Subscription Services and Public Sites.
  • Translate languages and process credit card payments.
  • Send emails, texts, and push notifications
  • Provide login options (such as Google).

Note: We may also share deidentified or “anonymized” data with these service providers.

Those privacy policies, not this Privacy Policy, apply to the third-party subprocessors’ use of your personal data, but those third-party subprocessors must adhere to privacy obligations in a manner consistent with and at least as protective of your personal data as is set forth in this Privacy Policy.

6. Key Protections: AI & Advertising

  • No AI Training: We do not use your personal data to train generative AI models, and we do not let our third-party service providers do it either. All third-party AI models used by us when using your personal data are licensed on enterprise-level terms.
  • No Targeted Ads: We do not build student profiles for advertising or use student records for targeted ads.

7. Children’s Privacy (COPPA)

ParentSquare follows COPPA (the Children’s Online Privacy Protection Act).

  • Consent: We rely on school districts to provide consent on behalf of parents for students under 13.
  • Usage: We only disclose a child’s data to provide the service or as your District directs.
  • Rights: You can review, correct, or delete your child’s data by emailing privacy@parentsquare.com. Requests will be re-directed to your District.
  • Certification: We are certified by the iKeepSafe Safe Harbor Program. If you are not satisfied with ParentSquare’s response to any inquiry on children’s privacy, you can contact the iKeepSafe Safe Harbor Program’s dedicated consumer complaint department at: coppaprivacy@ikeepsafe.org or see ikeepsafe.org/about-us/contact-us/.

8. Visibility & Security

  • User Responsibility: You are responsible for the content you post.
  • District Visibility: Administrators can access accounts to fix issues or ensure safety.
  • Directories: Your name and contact info may be visible to other parents in a school directory, depending on your District’s settings.
  • Social Media: If your District shares posts to social media or a District website, those photos/posts become public and are no longer covered by this Privacy Policy.

9. Your Choices & Controls

Opting Out

  • Emails: Click “unsubscribe” at the bottom of an email, though you will still get mandatory administrative or legal messages.
  • Texts: Reply STOP to any message to stop receiving texts from that group/school.
  • Notification Settings: You can choose “instant” or “digest” notifications or turn off notifications in your settings, but you will still receive urgent alerts or messages required by law.

Managing & Deleting Data

  • Updates: You can update your info by contacting your District directly.
  • Deletion: When you leave the District, the District may delete your account. If you want to delete your account or any personal data about yourself, contact your District directly.
  • Retention: We keep some data (logs/archives) to comply with laws, to meet contractual obligations to your District, or to diagnose technical problems. We may delete your data in accordance with our contractual and legal obligations and our standard business practices.

Authorized Agents

You may designate an authorized agent to submit requests on your behalf by designating such an agent in writing or through a power of attorney. We may require the agent to provide us with proof that you have authorized the agent to make requests on your behalf prior to accepting requests from the agent.

10. State & International Rights

  • States: While state laws often don’t apply to student records, users of our Public Sites in some states have rights to access, correct, and delete their data. In California, users may have some or all of the following rights:
    • Right to access a copy of the specific pieces of personal data we have collected about you;
    • Right to know the categories of personal data we collect, use, and disclose about you, the categories of sources from which we collected personal data about you, our purposes for collecting or disclosing personal data about you, the categories of personal data about you that we have disclosed, and the categories of third parties with which we have shared personal data;
    • Right to correct inaccuracies in the personal data that we maintain about you;
    • Right to delete personal data we have collected about you; and
    • Right not to be retaliated against for exercising the above privacy rights.

  • EU/UK/Switzerland (Applicable to Remind Hub Only):      Remind Hub complies with the Data Privacy Framework (DPF) for transferring data to the United States. To learn more about the Data Privacy Framework (DPF) program, and to view the Remind certification, please visit https://www.dataprivacyframework.gov/. You can submit unresolved privacy complaints under the DPF Principles to an independent dispute resolution mechanism, Data Privacy Framework Services, operated by BBB National Programs. If you do not receive timely acknowledgment of your complaint, or if your complaint is not satisfactorily addressed, please visit https://bbbprograms.org/programs/all-programs/dpf-consumers/ProcessForConsumers for more information and to file a complaint. This service is provided free of charge to you.

11. Changes to Privacy Policy

We reserve the right to change, modify, add, or remove portions of this Privacy Policy. ParentSquare will notify District administrators in writing or via email of any material changes to this Privacy Policy.
